BEFORE THE MATCH

Are you still rereading every order line by line?

Customer emails mix nicknames and abbreviations. The receiving desk has been reading each line and retyping it as a product number and quantity. Start by looking at the sample message as it arrived.

Switch to Harbor Deli with Another customer, and fry sm is unknown again. A phrase remembered for Riverside Market does not carry over.

    Customer: Riverside Market

    fry smMatchP0123

Remembered for this customer, so the next order matches.

    Harbor Deli

    fry smUnknownCode stays blank

Not remembered for this customer, so it stays unknown.

The same abbreviation can refer to different products at different stores.

READ THE RESULT

Check which lines have a code and which still have a blank.

The product-number field explains the status. Matched lines have a code. Candidate and Unknown lines stay blank until a person reviews them.

MatchP0123

The line matches your product list or that customer's dictionary, so a product number is shown.

CandidateCode stays blank

The match is not confirmed. The product-number field stays blank for a person to choose from the candidates.

UnknownCode stays blank

No match has been found. The product-number field stays blank for a person to review and choose.

AFTER REVIEW

Review the lines, then export the CSV yourself.

After reviewing the matching results, your team exports a CSV and passes it to the sales system you already use. Inbound Order Match does not send data to that system automatically.

YOUR ORDER DESK

Use the same sequence for your own orders.

Once the sample makes sense, continue at your own desk with your product list and order text.

  1. 01

Choose a customer and put the product list down

Select a customer and put down a list of product numbers and product names. Customer-specific phrases stay in that customer's dictionary, not in the product list.

  2. 02

Paste one order at a time

One paste equals one order. Do not combine twenty morning emails into one paste. Paste each order separately and select Match lines.

  3. 03

Choose blank lines, review, then export

Start by reviewing Candidate and Unknown lines. Choose a product number and select Remember to use that wording for the same customer next time. Use Forget to remove an incorrect phrase.

Matched lines are folded into a count and can be opened to inspect their product numbers. Your team passes the exported CSV to the sales system.
